Show Committee

Our Annual Show is one of the Roseville Rock Rollers’ largest and most important events. Bringing the show together takes months of thoughtful planning, coordination, and teamwork by dedicated member volunteers. Our Show Committee works throughout the year to organize, plan, and prepare every aspect of the event to ensure a successful and enjoyable experience for vendors, exhibitors, members, and the public.

Committee Meetings

Show planning begins early in the year with regular meetings and is open to any member who wants to help with planning or serve on a committee. Meeting details are published in the Rollin’ Rock Bulletin and on the website calendar. We encourage everyone who is interested in contributing to attend.

  • What the Show Committee Does

    Before the show weekend, the Show Committee meets to coordinate every detail of the event, including:

    • Vendor recruitment & layout — inviting dealers, carving out the show floor, and confirming booth assignments.rockrollers.com
    • Publicity & promotions — creating posters, online announcements, and advertising to draw attendees.rockrollers.com
    • Show guide & program production — designing and printing materials that help guests navigate the show.rockrollers.com

    • Logistics & facility planning — arranging space at @theGrounds, setting up electrical, safety plans, signage, and equipment staging.rockrollers.com
    • Post-show review — meeting again after the event to talk about what worked well and what we’ll improve for next year.

    Under the guidance of the Show Chairperson, each chairperson oversees a specific area of planning and coordinates volunteers before and during the show. These can include:

Duties of Show Committee Chairpersons

Show Chairperson

  • Oversees the entire show planning process and serves as the primary coordinator for the event. The Show Chairperson schedules committee meetings, keeps planning on track, works closely with all sub-chairs, and acts as the main liaison between the Society, vendors, and the venue.

Assistant Show Chairperson

  • Supports the Show Chairperson and helps coordinate communication between committee chairs. This role often steps in where needed and is an excellent way to learn the full scope of show planning.

Vendor Chairperson

  • Manages vendor applications, communication, booth assignments, and load-in/load-out coordination. Works closely with the Show Chairperson and venue staff to ensure a smooth vendor experience.

Admissions Chairperson

  • Oversees ticketing and entry operations, including admissions stations, wristbands, and procedures. Recruits and schedules admissions volunteers and ensures policies are followed during the show.

Exhibits Chairperson

  • Coordinates the exhibit cases area, including exhibit guidelines, setup, judging coordination (if applicable), and takedown. Encourages member participation and helps showcase the educational side of the Society.

Demonstrator Chairperson

  • Organizes lapidary, gem, and mineral demonstrations during the show. Coordinates demonstrators, schedules, and needs, helping to provide engaging educational experiences for attendees.

Kids’ Junction Chairperson

  • Plans and manages the children’s activity area. Coordinates projects, supplies, volunteers, and schedules to create a fun, safe, and educational space for younger attendees.

Silent Auction Chairperson

  • Oversees the Silent Auction from planning through close-out. Collects donations, sets up displays, manages bidding procedures, and coordinates checkout and reporting.

Raffle Chairperson

  • Manages raffle items, ticket sales coordination, drawings, and prize distribution. Works closely with volunteers and ensures compliance with Society procedures.

Volunteer Chairperson

  • Coordinates volunteer recruitment and scheduling across all show areas. Serves as a key contact for volunteers before and during the show and helps fill gaps as needed.

Publicity Chairperson

  • Promotes the show through flyers, press releases, social media, community calendars, and outreach. Works with the Show Chairperson and Society leadership to ensure consistent messaging.

Snack Bar / Kitchen Chairperson

  • Oversees food service operations for volunteers and vendors. Coordinates menus, supplies, food safety procedures, and kitchen volunteers.

Database Chairperson

  • Manages show-related data such as annual attendee lists and contact information to support smooth planning and communication.

Show Guide & Program Chairperson(s)

  • Coordinates content, layout, and production of the Show Guide and program materials. Works with other chairs to gather accurate information and deadlines.

Society Exhibit Case Chairperson

  • Designs and installs the Society’s exhibit case, highlighting the mission, activities, and educational focus of the Roseville Rock Rollers.

Safety & Electrical Chairperson

  • Oversees safety planning, electrical needs, and compliance with venue requirements. Coordinates power distribution, lighting, and ensures a safe environment for vendors, volunteers, and attendees.

If you are interested in serving as a chairperson, assistant, or committee volunteer, we encourage you to attend a Show Committee meeting or indicate your interest on the volunteer sign-up form. Many roles can be shared, and mentoring is always available.

Set Up & Take Down

Set Up and Take Down volunteers play a vital role in transforming the space before the show opens and restoring it afterward. These shifts are ideal for members and community volunteers who enjoy hands-on work and being part of the behind-the-scenes team. Volunteers of all experience levels are welcome, and guidance is provided by experienced volunteers and the chairperson for each area to ensure everyone knows what to do and stays safe.

    (volunteer hours start at 8 AM)

    • Unload items from the storage trailer.
    • Place skirting and signage.
    • Assist with exhibit cases, silent auction, kid's junction, education station, and raffle.
  • Friday, July 31, 2026

    (volunteer hours start at 9 AM)

    • Continue setup assistance from the previous day.
    • Direct vendors to designated unloading areas and assigned booths
    • Help exhibitors, demonstrators, and vendors with their booths, if needed
  • Sunday, August 2nd, 2026

    (volunteer hours 4 PM - 8 PM)

    • Direct vendors to designated loading areas.
    • Clean up all areas, including exhibits, silent auction, kids’ junction, education station, and raffle.
    • Remove and store skirting and tables.

During the Show

Show Day volunteers help create a welcoming and organized experience for our guests, vendors, and members throughout the weekend. These roles place volunteers at the heart of the show and are perfect for those who enjoy interacting with the public or assisting in specific activity areas. No prior experience is required, and volunteers will receive instructions and support from their assigned chairperson upon arrival.

  • Saturday & Sunday

    9:30 AM - 1:30 PM | 1 PM - 5 PM

  • Kids' Junction | Saturday & Sunday

    9:30 AM - 12:30 PM | 12 PM - 3 PM | 2 PM - 5 PM

  • Greeter

    • Station at the entrance to greet attendees.

    • Maintain queue and direct attendees

  • Admissions

    • Greet visitors and take admission fees.

    • Assist with forms for hourly drawings.

    • Provide information about the Show layout and stations.

  • Raffle

    • Sell raffle tickets and explain prizes.

    • Assist with the organization of hourly prize drawings.

  • Kids' Junction

    • Run the train, the spinning wheel, other interactive activities.

    • Engage with children in activities.

    • Help with sales

  • Silent Auction

    • Explain auction procedures.

    • Help set up auctions and collect money from winners.

    • Direct sales of items.

  • Snack Area

    • Assist with preparing snacks.

    • Cashier duties: take orders and handle payments.

  • Security

    • Patrol the building and ensure the safety of guests and vendors.

    • Stay in contact via cell phones.

  • Can Work Anywhere

    Can’t decide which station to volunteer for? Under “Can Work Anywhere” on the Signup Form, pick a day and time shift your able to volunteer.
